Where noted, position duties are taken from the MGA Operations Manual.

Chair

  1. In possession of and familiar with the IEEE Constitution, Bylaws, MGA Operations Manual.
  2. Presides at meetings of the Section and the Section Executive Committee.
  3. Operates the section to maximize satisfaction of Section member needs with the resources available.
  4. Establishes and supports Chapters in his/her section.
  5. Establishes and supports Affinity Groups for those approved groups
  6. Develops and presents plans for meeting members’ needs to the Section Executive Committee for review.
  7. Identifies appropriate volunteers and presents their appointments to the Executive Committee for review.
  8. Insures that all Section Officers, Committee Chairs, and Chapter Chairs are properly trained for their jobs.
  9. Signs financial report and confirms all reporting accurate and submitted in a timely manner.
  10. Insures satisfactory performance from the other Section Officers and the Section Committee Chairs.
  11. Appoints a Nominating Committee
  12. Prepares an annual report of Section Activities for submission to the Region.
  13. Represents the Section at all IEEE gatherings.
  14. Transfers Section records to the new Section Chair at the end of the year.

The Section Chair shall serve as Chair for all meetings of the Section and the Section ExCom. (9.4.F.3)

Vice Chair

The Section Vice Chair shall assist the Chair in the coordination of all Section activities. At the request of the Section Chair or in the absence of the Section Chair, the Section Vice Chair shall chair meetings of the Section, Section Committee, or Section ExCom. (9.4.F.4)

Secretary

The duties of the Section Secretary shall include correspondence, the keeping of the minutes of the committee meetings, mailing notices, and submission of meeting and officer reports to the MGA department at the end of each year and such other duties as are assigned to him/her by the Chair. (9.4.F.5)

Treasurer

  1. Accurately maintains financial records for Section.
  2. Maintains bank accounts of Section funds.
  3. Prepares the annual budget for submission to the Section Executive Committee.
  4. Makes disbursements in accordance with the approved budget.
  5. Refers expenses outside the budget to the Section Chair for action.
  6. Insures that all Section expenditures and disbursements are made in accordance with IEEE policy.
  7. Is familiar with the relevant governance documents affecting financial operations, including but not limited to the MGA Operations Manual and the IEEE Policy & Procedures Manual.
  8. Prepares financial reports for the Section Chair, Section Executive Committee and Regional Director.
  9. Transfers Section financial records at the beginning and end of each year.
  10. Submits annual report of financial activity to the IEEE Operations Center and provides follow-up where necessary to confirm that the report has been approved.

The duties of the Section Treasurer shall include the development of a Section budget for approval by the Section, accounting of all Section funds, keeping financial records, and submitting the financial operations report of the Section to the IEEE Senior Director – Financial Services. (9.4.F.6)

Awards and Recognition Chair

The Awards Activities Chair is responsible for organizing and arranging major award activities for the section.

Summary of Duties and Responsibilities:

  1. Knowledgeable of IEEE governance documents as they relate to Awards & Recognition, including IEEE Bylaws, Policy & Procedures, and MGA Operations Manual.
  2. He / She shall maintain historical records of Section awards distributed.
  3. Submits any new Section award to Regiion 6 Awards & Recognition Committee for approval. Is knowledgeable of IEEE recognition products, including pins, plaques, certificates, etc., and process for ordering.
  4. The Activities Chair will draft a letter for recognition of newly elevated Senior members and Fellows for signature of Section Chair, and distribution by Section Secretary.
  5. Shall preside at meetings of the A&R Committee. Forwards recommendations to Section Executive Committee for approval. Provides regular report, including recommendations, to Section Executive Committee for information and, where appropriate, action.
  6. The Activities Chair will also solicits nominations for IEEE Institute-level Awards and Medals and will pass on to successor all relevant records of office at the end of term.
  7. Passes on to successor all relevant records of office at the end of term.

Professional/Career Activities (PACE) Chair

This position promotes, organizes and conducts professional activities that enhance the status of technical professionals and their success. Focus is placed on the professional needs of the members by working with Affinity Groups, Chapters and student branches by promoting their interests and providing a forum to encourage sharing of member needs in their professional development.

Summary of Duties and Responsibilities:

  • Establish a communication plan to provide all section members with regular information on professional activities and development programs available to them.
  • Obtain member feedback on the areas of professional development that are of importance to them.
  • Plan activities in the section, chapters, affinity groups and student branches that are of interest to these groups and possibly the local community.
  • Develops, coordinates and presents professional programs for the local section, chapter or branch.
  • Present at IEEE meetings and local events
  • Establish network of both internal IEEE and external knowledge experts to share information and gain perspective on the changing dynamics of the professional

Student Branch Liaison

The student activities coordinator is responsible for managing all IEEE student activities at the section level.

Summary of Duties and Responsibilities:

  1. Become familiar with IEEE Student Activities-related programs through contact with the Regional Student Activities Chair (RSAC), Regional Student Representative (RSR), the Student Concourse web site at www.ieee.org/students and IEEE Student Services Staff.
  2. With the approval of the Section Executive Committee, plan and execute training programs to address the needs and concerns of Student members and promote active involvement with IEEE after graduation.
  3. Serve as liaison to Student Branch Counselors and Student Branch Chairs to maintain communication with the Section.
  4. Provide a regular report to the Section Executive Committee about the status of Student Activities programs in the Section and in the geographic area. Remind the Section that Sections receive a rebate for Student members.
  5. Pass on to successor all relevant records of office at the end of term.

Utah Engineers Council Representative

The Utah Engineers’ Council (UEC) representative… represents the Utah IEEE section at UEC meetings and informs the ExCom of  UEC happenings.  This involves attending the UEC meetings (currently lunchtime on the first Wednesdays of the month) and section ExCom meetings.

Webmaster/Communications Chair

The Communications Chair is responsible for facilitating the distribution of information and knowledge of the section to its members.

Summary of Duties and Responsibilities:

  1. Is knowledgeable of IEEE governance documents as they relate to electronic communications, including but not limited to IEEE Policy & Procedures.
  2. Maintains or coordinates the maintenance of: Section access to membership data (SAMIEEE);   Section email distribution list; and Section web page.
  3. Provides member contact data upon request to Section officers and Chapter Chairs.
  4. Periodically reviews member data and communicates concerns to IEEE Operations Center.
  5. Provides monthly or quarterly update to Section Executive Committee on status of Section’s electronic communications activity.
  6. Passes on to successor all relevant records of office at the end of term.

Women in Engineering (WiE) Chair

You are the lead volunteer for your Section’s Women in Engineering Committee. You set the tone for WIE activities and are the public face of the WIE Affinity Group. As leader of the WIE Affinity Group you are responsible for engaging WIE members. This is done by conducting informative local activities and events that meets the needs of your members. WIE members are a valuable resource to your Section owing to their experience as IEEE volunteers. You will want to tap this resource by encouraging your members to engage in various volunteer support roles including student and student branch mentoring.

Membership Chair

  1. Is recipient of monthly mailings of Section membership statistics from IEEE Operations Center.
  2. Is responsible for analyzing Section membership information and identifying membership problems and opportunities.
  3. Submits requests as needed for membership development materials, including posters and applications, to IEEE Operations Center staff.
  4. Communicates regularly with Regional Membership Development Officer.
  5. Coordinates membership exhibits for local conferences, including but not limited to use of IEEE Cooperative Display program, soliciting materials for exhibits, identifying volunteers to staff booth.
  6. Provides quarterly membership status report with recommendations to Section Executive Committee.

Young Professionals Chair

The Chair sets the tone for the Affinity Group and is the public face of Young Professionals.  You are responsible for helping to involve your fellow Officers and provide for the needs of the Young Professionals members in your Section.  To keep our YP group in good standing we need to have at least two activities through the year.

Technical Activities Chair

The technical activities chair is responsible for helping the sections and its technical chapters have a vibrant technical program.

Education Activities

  • Develop continuing education programs for the professional engineers by working with the local chapters.

Technical Activities

  • Develop programs that enhance the chapter activity and/or rejuvenation
  • Work with Societies to improve relations and develop programs to be implemented at the chapter level.
  • Establish a relationship with the societies to enable the section to participate in the Society conferences.
