The Phoenix Section Secretary is a steward of the Section’s history and future, managing information to enable ExCom decision making. The Secretary role brings members’ needs to the Executive Committee and involves having accountability, maintenance and ownership of Section records and correspondence.
In general, the Secretary responsibilities include:
- Assists Chair with meeting protocol;
- Reviews and recommends approval of minutes of the Section;
- Supervises keeping of records required by IEEE;
- Ensures the safe keeping and accuracy of all Section records;
- Provides notice of meetings of the Section and/or of a committee when such notice is required;
- Prepares the annual report about section membership, meetings and related IEEE activities;
- Ensures all governing documents are in compliance with all IEEE policies;
- Ensures all Section and/or Committee documents are in compliance with the IEEEInformation Disclosure Policy;
- Works with the section committees and chapters on any revisions to operations manuals and committee charters to assure compliance with IEEE’s governing documents;
- Understands current issues and their complexities and provides sound counsel to the Phoenix Section Chair, Vice Chair and other ExCom members;
- Identifies, encourages, nominates and mentors candidates for higher volunteer positions within the Phoenix Section, Region 6 or other IEEE entity.
